Waiting Area Lighting: The Key Principles for Creating Comfortable Waiting Spaces
A waiting area has an unusual task.
People are not supposed to do one specific thing there. And at the same time, the space needs to support very different activities.
This is exactly why good waiting area lighting is more demanding than simply hanging warm light above a seating group.
Because waiting is not really a spatial use. It is a period of time between two uses.
And the way that period feels depends strongly on whether light creates calm without creating passivity – and enables function without making the space feel like a workplace.
Someone waiting two minutes for check-in needs a different environment from someone sitting for twenty minutes before a treatment.
2–10 minutes
Orientation is crucial. Where do I sit? Where do I go next? Who will come for me? Light should make the space easy to understand immediately.
10–30 minutes
Visual comfort becomes more important. Reading, smartphones, conversation and longer periods of sitting require more differentiated lighting conditions.
30+ minutes
Daylight, visual variety, opportunities for retreat and different lighting zones become increasingly important.
Uniformity initially sounds comfortable.
No dark corners. No strong differences. Everything clearly visible.
Yet this is exactly what can make a waiting area feel flat, public and visually restless.
A clearer hierarchy is more useful:
- a calm level of general brightness
- slightly brighter areas for orientation
- localised light where people actually read or work
- vertical light on selected walls
- targeted accents on materials, art or architecture
The entire room does not need the same visual volume.
Particularly in larger waiting zones, smaller pools of light can help transform an open area into several more comfortable places to stay.
At Coreum Hotel, this differentiation is part of the large open ground floor. Lounge, reception, bar and other communal uses sit close together spatially, yet receive different visual emphasis through targeted lighting zones.
Lighting plans are often read from above.
But people waiting experience the space while seated.
That changes almost everything.
A luminaire that appears perfectly positioned on plan may glare directly at eye level. A bright section of ceiling may become unpleasantly dominant within the field of view. A decorative pendant may hang exactly where people spend long periods looking towards its light source.
At the same time, important surfaces within the actual field of view may remain too dark.
The relevant reference point is therefore not only the horizontal plane on the floor.
It is the sightline of a seated person.
Check the space from eye level:
- Is a light source directly visible?
- Can you comfortably see the face of the person opposite?
- Can you read a form or magazine?
- Does light reflect unpleasantly on a smartphone?
- Is the next route or doorway clearly recognisable?
- Is there a pleasant visual focus beyond your own seat?
A waiting area is experienced from sitting height. That is exactly where it should be evaluated.
Indirect lighting can work very well in waiting areas.
It can reduce hard shadows, avoid visible light sources and create a softer base level of brightness.
But:
If the entire ceiling glows evenly, indirect light can still become visually dominant.
If every wall receives the same brightness, the space loses depth.
And if indirect light is the only lighting layer, local light for reading, faces or orientation is often missing.
The better question is therefore not: direct or indirect?
It is: Which task should direct light perform – and which task should indirect light perform?
Calm is not created simply by making as little as possible happen.
A completely neutral room can even make time feel more noticeable.
People who wait observe.
Materials. Plants. Art. Architecture. other people. the exit.
Light can decide which of these things becomes a calm visual focus.
An illuminated material wall can hold the eye. An accentuated plant can create depth. Art can provide a visual counterpoint to the seating area.
A good waiting area gives the eye something to look at without demanding attention.
This idea also applies to spaces that are not traditionally described as waiting rooms. In the Düsseldorf project The Loop, showroom, workplace, client reception and event space overlap. The lighting therefore needs to support different forms of occupation rather than create only one static condition.
This is surprisingly often overlooked in lighting design.
A seating group positioned in the centre of a bright room may be functionally well illuminated – and still feel uncomfortably exposed.
This is particularly relevant in medical, advisory or personal settings.
Light can create subtle degrees of privacy:
- quieter brightness directly at the seat
- brighter surfaces slightly outside the seating group
- no hard spotlights directed at waiting people
- faces comfortably visible without dramatic accentuation
- walls and background surfaces used as visual boundaries
Privacy is not only a question of walls and furniture.
Brightness distribution also changes how public or protected a seat feels.
People do not enter every waiting area with the same mindset.
Before a meeting, someone may be focused. Before a hotel check-in, perhaps tired. Before a medical examination, possibly anxious.
This is exactly why lighting design should not respond only to the room type.
At Véo Health in Berlin-Mitte, the starting point was clear: the practice was deliberately intended not to feel like a conventionally functional medical environment.
Studio De Schutter developed a warm, restrained lighting concept using 2700 Kelvin, CRI 97 and fully dimmable lighting solutions.
Round, white and transparent luminaires remain visually restrained. Artworks are highlighted selectively. Materials and skin tones remain natural thanks to the high colour rendering.
Calm is created here not through darkness, but through controlled visual order.
Some people read. Others look at their smartphone. Some talk. Others simply want to do nothing.
This is why it makes little sense to apply the highest functional requirement to the whole waiting area.
If reading requires more light, that light can be provided locally:
- above selected seating groups
- above a shared table
- through wall or floor luminaires
- through carefully directed ceiling luminaires
Other areas can remain quieter.
Not every seat has to offer exactly the same lighting conditions.
Different lighting conditions can even create choice: reading, working, talking or simply waiting.
Yet many lighting calculations focus primarily on horizontal illuminance.
For the actual spatial experience, vertical surfaces are at least as relevant.
People see:
Walls · Faces · Doors · Art · Plants · Signage
A moderately illuminated room can feel significantly brighter and more open when selected walls receive enough light.
At the same time, vertical brightness can support orientation: Where is reception? Which door opens next? Where does the corridor begin?
The light at the waiting seat and the light used for orientation do not need to be the same lighting layer.
Waiting means time.
And daylight makes time visible.
Changes in brightness and colour provide a natural connection to the course of the day. A view outside can also create a sense of spatial openness.
Problems arise when artificial light remains constantly at full output regardless of daylight conditions.
In the morning, an area near the window may already receive enough light. In the afternoon, strong contrasts may emerge. In the evening, daylight disappears completely.
A good lighting concept responds to these changes.
Not necessarily through complicated technology – but through separate lighting circuits, dimming or clearly defined scenes.
Hotel lobbies become workspaces. Reception areas become meeting points. Lounges become event spaces. Café areas become informal meeting zones.
A static lighting concept can hardly respond meaningfully to all of these changes.
At the Berlin project Full Node, the meetup and café areas were therefore designed with controllable scenes that can shift between conference, workshop and event use.
This kind of flexibility is equally relevant for contemporary waiting and lounge areas.
The space does not need to look completely different all the time. But the light should be able to change when the role of the space changes.
The specific solution depends on the space. The responsibilities, however, repeat.
Enough light for safe and comfortable use without giving every surface the same visual emphasis.
Walls and relevant background surfaces can make the room feel brighter, easier to understand and spatially deeper.
Reading, forms or work receive more light exactly where it is needed without raising the entire waiting area to the same level.
Reception, doors and onward routes remain clearly visible.
Art, material, plants or architecture give the eye a calm point of attention.
Daylight, time of day and changing use may require different lighting conditions.
- illuminating the entire room as uniformly as possible
- assuming warm light automatically means comfortable light
- considering only horizontal illuminance
- positioning visible downlights directly above seats
- failing to check the sightlines of seated people
- giving every seat exactly the same lighting conditions
- replacing local reading light with higher general illumination
- leaving faces opposite too dark
- unnecessarily exposing people with directional spotlights
- forgetting walls and background surfaces
- planning daylight and artificial light independently
- using only one lighting scene for the entire day
Comfort does not result from one single value.
It results from the relationship between light, use, sightline and time.
Before selecting specific luminaires, six questions should be answered.
Patients, hotel guests, clients, employees or event visitors arrive with different needs.
Two minutes create different requirements from twenty or sixty minutes.
Reading, talking, working, observing or doing nothing require different lighting conditions.
Check sightlines, walls, light sources and reflections from actual eye level.
Reception, corridor, treatment room or meeting room should remain intuitively recognisable.
Translate daylight, evening operation and changing uses into lighting layers and controls from an early stage.
A hotel, a medical practice, a showroom and a coworking space create very different requirements. The underlying principles remain similar: visual calm, orientation, good light quality and a clear relationship to use.

The right colour temperature depends on the use, materials and spatial concept. Warmer light can support a calmer, more residential character, but it is not a substitute for good glare control, colour rendering and balanced brightness distribution.
One single number cannot adequately describe the quality of a waiting area. What matters is what people actually do there. Areas used for reading or filling in forms may need more local light than spaces intended purely for sitting and resting.
Indirect light can be very comfortable because it reduces visible light sources and hard contrasts. As the only solution, however, it can feel flat or provide insufficient functional light. A combination of indirect general brightness, local task light and vertical lighting is often more effective.
People often remain seated for longer periods and therefore look into the room from the same position. A poorly positioned luminaire may stay directly within their field of view. Lighting should therefore always be evaluated from seated eye level.
Visual calm, natural skin tones, low glare, warm materials and clear orientation can help a medical waiting area feel less clinical. It is especially important that the lighting is not only functionally sufficient, but also responds to the emotional state of the people using the space.
Ideally, lighting should be developed together with the floor plan, furniture, daylight and material concept. Seating positions, sightlines, art, plants, doors and different use zones directly influence which lighting distributions make sense.
For the person sitting there, it is the most important room in the building for those few minutes.
